Administrative Secretary
Primary Purpose:
Under moderate supervision organize and manage the routine work activities of the administrative office and provide clerical services to the superintendent, board of trustees and other staff members.
Respond to inquiries from staff, students, parents, and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the district administration office.
Engage in frequent contact with all levels of district employees, outside agencies, and the public.
Most importantly, maintain complete confidentiality, discretion, and honesty continually.
Qualifications:
Education/Certification:
High school diploma or GED.
Special Knowledge/Skills:
Proficient skills in keyboarding, 10-key, data entry, word processing, Excel, Adobe PDF, and file maintenance.
Ability to use software to develop spreadsheets, databases and do word processing.
Ability to prioritize workflow to address the multiple needs of the supervisor or the department.
The ability to speak, read, and understand English using effective communication skills.
Ability to operate a multi-line phone system.
Ability to multitask numerous complex administrative activities.
Major Responsibilities and Duties:
Records, Reports, and Correspondence
Organize, prepare, and post board agenda and records for board meetings and distribute to board members and others as required.
Attend board meetings and record minutes of board meetings as required.
Comply with policies established by federal and state laws or regulations, including local school board policy.
Always maintain confidentiality.
Prepare correspondence, forms, reports, and manuals, for the department heads and staff.
Compile, maintain, and file all reports, records, and other documents as required.
Accounting
Perform routine bookkeeping tasks and maintain activity account records.
Assist the Business Manager with district travel expenses and charge accounts.
Participate in the annual audit and assist Business Manager as needed.
Clerical Support
Greet visitors (e.g., the public, parents, students, substitutes, vendors, etc.), respond to inquiries, and/or direct them to appropriate personnel following district policies and procedures regarding building security. Refer appropriate inquiries or problems to the Superintendent or other administration.
Respond to routine inquiries from the public and staff and refer appropriate inquiries or problems to the Superintendent or other administration.
Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
Maintain a schedule of appointments and make travel arrangements for department staff.
Other
Process student and staff travel, prepare cash envelopes, and distribute.
Prepare deposits
Perform election clerk duties annually.
Receive, sort, and distribute mail and other documents to department staff.
Follow district safety protocols and emergency procedures.
Mental Demands/Physical Demands/Environmental Factors:
Tools/Equipment: Standard office equipment, including personal computers and peripherals.
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting.
Motion: Repetitive hand motions such as frequent keyboarding and use of a mouse; occasional reaching.
Lifting: Occasional light lifting and carrying.
Environment: May work prolonged or irregular hours; occasional districtwide travel for training.
Mental Demands: Work with frequent interruptions; maintain emotional control under stress.
